Conference weeks do not run on a single schedule. Keynotes overrun, dinners move, and the gap between a session ending and a car being needed is measured in minutes rather than hours.
We stage vehicles at the venue, the hotel and the airport for the length of the event, with one coordinator holding the plan. Delegate lists are managed centrally, so your team is not fielding individual requests all week.
A conference week is not one journey
Moscone runs to its own timetable and the city around it does not adjust. Most of what goes wrong sits in the gap between the two.
Delegates end up spread across Union Square, SoMa and the Embarcadero, which turns one conference into thirty separate journeys a day. We run them as loops against the session times instead of as individual bookings made twenty minutes before they are needed.
Sessions end and the group divides between four dinners in four neighborhoods. Cars are staged for that dispersal rather than for a single departure, so the last person out is not the one waiting longest.
A week at a conference accumulates things — collateral, hardware, a case that has to reach the airport. The car takes it and keeps it, which is not something a ride summoned at the curb will do.
